DealDock Technologies LLC (“DealDock,” “we,” “us,” or “our”) is a Michigan limited liability company that operates an AI-assisted real estate transaction coordination platform available at dealdockai.com. This Privacy Policy explains how we collect, use, store, and share your information when you use our platform.

2. Information We Collect

When you use DealDock, we collect the following types of information:

Account Information

Name, email address, phone number
Brokerage name and real estate license number
State of licensure
Billing information (processed and stored by Stripe — we do not store card numbers)

Transaction Documents

Purchase Agreements and related addendums
Listing agreements
Title commitments and other real estate documents
Personally identifiable information (PII) contained within those documents, including buyer/seller names, addresses, and financial details

Calendar Data

If you connect Google Calendar, we access your calendar to read and create transaction-related events on your behalf
We only access calendar data necessary to provide the transaction coordination service

Usage Data

Pages visited, features used, actions taken within the app
Device and browser information
IP address and general location

3. How We Use Your Information

To provide the DealDock transaction coordination service
To parse and analyze uploaded documents using AI
To track transaction deadlines and milestones
To generate draft communications on your behalf
To sync transaction dates with your Google Calendar (if connected)
To process payments via Stripe
To improve the accuracy and reliability of our AI systems using anonymized, aggregated data — no PII is retained in training data
To send service-related communications (not marketing, unless opted in)

AI Training Data — Full Transparency

When you flag an AI extraction as incorrect, that correction may be used anonymously to train future models
Successfully parsed document fields may be retained anonymously as positive training examples
Raw PDF documents are never used for training
No buyer, seller, agent, or property identifying information is included in training data
All training data is owned exclusively by DealDock Technologies LLC
You may opt out at any time in Settings → Data & Privacy — takes effect immediately

4. How We Store Your Data

Data is stored in Supabase, a SOC 2 compliant cloud database provider
Documents are stored encrypted at rest in Supabase Storage
All data transmission uses TLS/HTTPS encryption
Access is restricted to authenticated users only — you can only access your own transactions

Data Retention

Active account data is retained for the duration of your subscription
After account cancellation, your data is retained for 30 days, then permanently deleted
You may request deletion of your data at any time by contacting us

5. AI Processing

DealDock uses AI services to process your documents and generate content. Specifically:

OpenAI (GPT-4o): Document text is sent to OpenAI's API for analysis and content generation. OpenAI's API Data Usage Policies apply. OpenAI does not use API data to train its models by default.
PDF.co: Uploaded PDF documents are processed by PDF.co to extract text content before AI analysis. PDF.co's privacy policy applies to this processing.

We do not use your documents to train our own AI models without your explicit consent.

6. Information Sharing

We do not sell your personal information. We share information only in these limited circumstances:

OpenAI: Document text for AI analysis (see Section 5)
PDF.co: PDF documents for text extraction (see Section 5)
Supabase: Database and file storage infrastructure
Vercel: Application hosting and deployment
Stripe: Payment processing (card data never touches our servers)
Google: Calendar integration, if you choose to connect Google Calendar
Resend: Email delivery service for transaction communications sent on your behalf
Legal requirements: When required by law, court order, or valid legal process
With your consent: When you explicitly authorize sharing (e.g., emails sent to title company or lender on your behalf)

7. Email Communications (CAN-SPAM Compliance)

Transactional emails (deal updates, alerts, emails sent on your behalf) are part of the service — these do not require unsubscribe options
Marketing emails require your opt-in and include an unsubscribe option in every message
Emails sent to your clients on your behalf include appropriate disclosures per CAN-SPAM requirements
